TORINTHE BOOK THAT GETS YOU PAID WhatsApp us Open the app →

The invoice book that chases itself.

R9,417.50 out on one geyser job. You’d only find it with a WhatsApp search. The vault writes the quote, sends the SARS tax invoice on WhatsApp, collects the proof of payment, and reminds the slow payers, in English or Afrikaans. Every customer, every Rand, searchable for years.

R4,000 once-off setup: we import your customers and unpaid invoices. Then R299–R499/mo, month-to-month. Less than one lost geyser job. We never touch your money.

Hi Jan, INV-2081 for R9,417.50 is due. Pay link + “upload proof here”. Vault • Day 7 • Afrikaans version ready
Proof uploaded ✓ → marked PAID → receipt sent. No filing, no email hunt

Four papers. Plain meanings.

Customers get confused by document names, so the vault says what each one means in one line, on WhatsApp and on paper.

QUOTE

We agree the price first. What the job costs, approved on WhatsApp before anything is built or any money moves.

DEPOSIT REQUEST

Pay part before I start. Also called a pro-forma, not a tax invoice. Becomes one when it’s paid.

INVOICE

Job done, pay me. SARS tax invoice, VAT shown, numbered in order with no gaps, pay link attached.

RECEIPT

Paid, thanks. Proof matched, money in your bank, receipt sent. Closed.

From hello to paid, in one book.

Not a debt tracker. The full book: quote it, invoice it, prove it, chase it, keep it. Demo names below are illustrative; your book carries your customers.

Quote: approved on WhatsApp

QT-numbered, photos, expiry dates, terms. Customer taps Approve → becomes invoice. Versions and win/loss reasons kept, so you learn which quotes die.

Deposit request: no argument

50% upfront requests, clearly marked “NOT a tax invoice”. One tap converts to tax invoice on payment.

Tax invoice: SARS-clean, no gaps

Title, both VAT numbers, 15% split, dates, EFT details. PDF + pay link. Statuses: Draft → Sent → Viewed → Part-paid → Paid → Overdue. Audit pack in one click.

Pay link + POP: proof lands paid

EFT ref baked in; Yoco, Stitch, Ozow or PayShap if you have them. Customer uploads proof, vault matches it, receipt goes out. Same proof twice gets stopped.

Chase: polite, then firm

Afrikaans and English drafts, interest line included. “Still owes you” list, one tap to send. Only templates: no threats, and never your voice faked.

Field jobs: site to invoice same day

The sparky reports from site — where he was, what's done, photos, hours, customer signature. One tap makes the invoice draft and sends it on WhatsApp. Late invoicing ends here.

Statement: month-end, one screen

Per-customer age analysis: Current, 30, 60, 90+ days. “R18,400 still owed to you”, sent on WhatsApp or email as PDF.

Retainers: bill again automatically

Gardening, maintenance, levies, agency hours. Weekly or monthly, pause, skip, prorata. Never forget to bill again.

Memory: the customer’s story

Every chat, quote, job photo, invoice, payment and note per customer. “Show me everyone who asked for a quote last month and went quiet.” When staff leave, the memory stays with the business.

Leaving means leaving your memory.

Google Photos keeps you because leaving means abandoning memories and search. The vault does the same with your debtors: history piles up, slow payers get scored, and the export the incumbents allow is deliberately thin.

Every invoice, payment and chase makes the next quote smarter: who pays in 2 days, who needs a deposit, who disputes. That scoring never exports. The CSV leaves with you; the memory of who pays how stays in the vault.

“Fully entrenched with accountants… they won’t touch anything else.”— SMALL-BUSINESS OWNER, ON SWITCHING ACCOUNTING SOFTWARE

The first ten minutes

  1. We create one real invoice from your last job, on the call.
  2. You forward its pay link on your own WhatsApp. It opens with your logo.
  3. A proof uploads. The invoice slams PAID in front of you.
  4. “Here’s who still owes you.” The screen you’ve never had.

Rand pricing. No lock-in.

Setup R4,000 once. Then pick the book size. Cancel any month and take your CSV + PDFs with you.

Free to send — invoices and pay links cost nothing extra. Month-to-month after your pilot, cancel anytime, keep your books.

Money goes client-account → your account. We never hold it, never file to SARS for you, never write legal letters. Your bookkeeper gets clean exports instead of a shoebox.

Fair questions.

I already have Yoco / Xero / Sage. Why add this?

Keep them. The vault sits on the WhatsApp half they miss: approve-on-chat, POP matching, chase in Afrikaans, one outstanding screen. Imports and exports both ways.

What happens when the power or signal dies?

Draft offline. It queues and sends on reconnect: once, never twice. Every send carries an idempotency key.

Is my customer data safe? POPIA?

Hosted in South Africa, consent logged, roles enforced, export or delete on request. The vault stores your records; it doesn’t give advice.

Can I leave?

Yes, CSV + PDF any time. What doesn’t transfer is the derived memory: scores, timelines, chase history. That’s the honest lock-in.

Apply for access.

Approved accounts only: apply with the email you will sign in with. Ron confirms every account after payment — then a sign-in link lands in your inbox.

Free 30-day pilot. Keep what gets recovered.

Six businesses. Thirty-minute setup call. We import your customers, draft your first three invoices, and watch the first payment land. If nobody pays faster, switch it off.
